How do you automate enquiries in new-build sales?
Every enquiry waiting in an inbox is a buyer who is meanwhile looking at another project. Here is how to turn an enquiry into an organised, automatic process.
An example process
An automated sales process in a new development usually runs like this:
- The buyer views a specific apartment on the platform.
- They send an enquiry tied to that unit.
- The system records interest in that specific unit, together with the source and the content viewed.
- The responsible salesperson receives a notification (email, push, CRM).
- The buyer receives a confirmation of their enquiry in their own language.
- The salesperson arranges a follow-up meeting; the status is tracked in the CRM.
- According to agreed rules, further communication is triggered: additional materials, reminders, notifications when the status changes.
What needs to be defined in advance
- Assignment rules: by project, unit, language, salespeople's workload.
- The content of confirmations and follow-up messages, in all of the buyers' languages.
- The statuses and their transitions: new, in progress, meeting, reservation, closed.
- Where a human decision is required and where a step runs on its own.
Additional options
Once the basic process is running, you can add buyer segmentation, viewing records, automatic sending of catalogues, sales funnel analytics, an overview of enquiry sources, connections to advertising platforms and automated reports to the developer.
A common mistake
Automation without a link to the unit. If the enquiry is not tied to a specific apartment, the salesperson does not know what the buyer looked at, and the process falls back to manual explanation. The platform → unit → CRM connection is the foundation of everything else.
