How can AI help estate agencies?

This is not about AI selling apartments. It is about taking the repetitive work off agents and leaving them time for buyers.

Where agencies lose time

Answering the same questions about availability and floor areas. Manually sorting enquiries from different portals. Searching project documentation for data. Preparing materials for meetings. All of these tasks are repetitive, structured and dependent on data the agency already has, which makes them well suited to AI support.

Concrete use cases

  • AI assistant on the project website: connected to the unit database, it answers questions about apartments, availability and floor plans around the clock, in several languages, and captures the contact.
  • Unit shortlists by preference: the buyer describes what they are looking for ("three rooms, with a balcony, upper floor, up to EUR 350,000"); the assistant offers suitable units with floor plans and links to the 3D viewings.
  • AI for email: sorting enquiries by project and urgency, draft replies, routing to the right agent, reminders.
  • Internal assistant: searching the agency's project documentation, contracts and procedures.
  • Preparing materials: summaries of communication with a buyer, meeting materials, suggested units.
  • Notifications: messages to buyers according to agreed rules when a unit status changes.

Limits that must be respected

An AI assistant does not replace legally binding offers, contract signing or the official confirmation of financial terms. It works on the basis of approved information and agreed technical connections. Decisions, such as the offer, the price and the reservation, remain with the agent. Nor may AI invent data: if the information is not in the database, it must hand the buyer over to a person.

How to start

Start with the one process that repeats most often, usually sorting enquiries or answering basic questions. Organise the unit data, define the rules for what the AI may answer, and measure the result: response time, the share of questions resolved without an agent, the quality of handed-over enquiries. Then expand.
